Introducing VaultSort for Teams
You use VaultSort to organize, encrypt, and securely delete files on your Mac.
But what if your whole team could?
VaultSort for Teams is here.
We've been hearing from professionals — lawyers, financial advisors, healthcare administrators, consultants — who love what VaultSort does on their personal machine but need it across their firm.
The problems they describe are remarkably consistent:
- Files get "deleted" but remain recoverable on SSDs
- Confidential documents sit unencrypted on shared drives and individual laptops
- No one can answer "who moved that file and when?"
- Every person has their own organization system (or none at all)
- When someone leaves, there's no process for the files on their machine
These aren't VaultSort problems. They're organizational risk. And until now, the only options were enterprise tools that cost six figures — or doing nothing and hoping for the best.
What VaultSort for Teams includes
Everything in VaultSort, plus the infrastructure to run it across a team:
Secure Deletion That Actually Deletes
DoD 5220.22-M secure deletion with SSD-aware multi-pass algorithms. When your firm destroys a client file, it's destroyed — not hiding on an SSD waiting to be recovered.
AES-256 Encryption with YubiKey Hardware Keys
Every team member registers their own YubiKey. An admin approves keys from a centralized dashboard. Files are automatically encrypted for all approved keys. When someone leaves, revoke their key — their access is gone.
Enforced File Organization
Build organization rules with the same full AND/OR/NOT boolean logic from Advanced Organization, then push them across every team member's machine. Scheduled Jobs run automatically via launchd — even when the app isn't open.
Complete Audit Trail
The Operation Log records every file operation — moves, copies, renames, deletions, and organization jobs — with timestamps, source/destination paths, and results. Exportable for compliance audits, incident response, and client reporting.
Space Reclamation at Scale (coming soon)
The same Rust-powered Space Saver scanner, deployed across your team's machines. Identify and reclaim cache bloat org-wide.
Centralized Admin Dashboard
This is what turns VaultSort from "a tool everyone installs" into infrastructure you can actually manage. A web-based console for team administrators — full visibility into your team's file operations, security posture, and compliance status, without touching individual machines.
Centralized Audit Logs
Aggregated operation logs across all team members. Filter by user, action type, or date range. Export reports for compliance audits and incident response.
YubiKey Access Control
Approve, revoke, and monitor hardware key registrations from one place. See which keys are authorized for team file encryption at a glance. When someone leaves, revoke their key — their YubiKey is excluded from all future encryptions, and VaultSort can re-encrypt existing team files to remove their access.
Enforced Organization Policies
Push standardized Advanced Organization rule sets to team members from the dashboard. Ensure consistent file structures and naming conventions across the organization — not just on the machines you can physically walk to.
Secure Deletion Verification
Confirm that sensitive files were destroyed with DoD-standard methods. Per-user deletion reports with timestamps, file paths, and pass verification. When a client asks "was this actually deleted?" — you have the answer.
User & Seat Management
Provision and deprovision team members. Manage licenses, onboard new hires, and handle offboarding with credential revocation — all in one workflow.
Storage & Usage Analytics
Team-wide storage consumption, space reclaimed via Space Saver, duplicate files removed, and encryption coverage — broken down per user and department.
Early access for launch teams. Teams who sign up now will shape the dashboard's development and get it included in their plan at no additional cost.
Built for teams that handle sensitive files
We designed this for small and mid-size professional firms on Mac:
- Law firms — Attorney-client privilege, case file destruction, chain of custody documentation
- Healthcare offices — HIPAA-compliant data disposal, encrypted patient records
- Financial advisors — Client data encryption at rest, verifiable destruction at end-of-life
- Agencies & consultancies — Consistent project file structures, audit trails for client work
- IT departments — Standardized file management across Mac fleets, device reuse and offboarding
Simple pricing
$99/month — up to 10 seats. All features included. No per-feature upsells.
That's less than $10/seat/month for secure deletion, encryption, hardware key management, automated organization, and full audit logging.
For comparison: CleanMyMac Business charges $39.95/seat/year for cache cleaning alone. A 10-seat Hazel setup costs $420 for file automation only. VaultSort replaces both — plus encryption, secure deletion, and audit trails — for less.
